How Civy uses AI
What our AI systems do, how their results are produced, and where people stay in control.

1. The AI systems in Civy
Civy uses AI for these features. Each one is labelled as AI where people meet it.
- AI twin — a chat on a candidate’s public page that answers recruiters’ questions using only that candidate’s documented profile.
- Job-fit analysis — compares a job description with a candidate’s profile and shows which requirements are evidenced.
- Application documents — drafts of tailored CVs, cover letters and answers that the candidate reviews before using them.
- Learning plans and practice tests — suggested study plans and practice questions for a career goal.
- Civy assistant — helps candidates complete and improve their profile.
2. You always know when you are talking to an AI
The AI twin says it is an AI in its header, in a notice that stays visible during the whole conversation, and in its first message. If you ask whether you are talking to a person, it answers that it is an AI. It never claims to be the candidate.
When the candidate answers a question personally, that reply is marked as written by the candidate.
3. How job-fit analysis works
AI used to evaluate candidates is classified as high-risk under the EU AI Act (Annex III, point 4). We build job-fit analysis as decision support with a person in control, and we are preparing for the obligations that apply to it.
- An AI model reads the job description and lists its requirements.
- Each requirement is checked against the candidate’s documented profile and marked as evidenced, partially evidenced or not evidenced.
- “Not evidenced” means the profile does not show it — not that the candidate lacks it. Ask the AI twin or the candidate.
- The percentage summarises requirement coverage. It is not a prediction of job performance.
- The analysis must not be the only basis for a hiring decision. A person makes the decision.
4. European standards
Skills and occupations are linked to ESCO, the European Commission’s classification of skills, competences and occupations (version 1.2). A skill is linked only when the names match exactly or a reviewer approved the link, and each link states how close the match is (exact, close, broader or narrower). Skills with no ESCO equivalent stay unlinked rather than being guessed.
Candidates can export their profile as a Europass CV (XML) that imports into europass.europa.eu, and as an ESCO skills profile (JSON-LD). Languages use CEFR levels and qualifications use EQF levels.
5. Data and models
AI features only use the data needed for the task. The AI twin and job-fit analysis use the candidate’s profile, which the candidate controls. The model providers we use and where they process data are listed in our Privacy Policy.
6. People stay in control
- Candidates decide what is in their profile and can edit or delete it at any time; the AI twin only knows what the profile contains.
- Questions the AI twin cannot answer are sent to the candidate instead of being guessed.
- Generated documents are drafts that the candidate reviews before use.
- Recruiters see job-fit analysis as decision support; the hiring decision is theirs.
